Section B - Engaging our interpreters

1Auslan Version

2Registering with SweeneyApp

If you are under 18 years of age, you must have parental permission to use the App.

3Accuracy of Information

You need to make sure that all information put into the App is accurate so that we can provide the correct services for you.

If you add any information incorrectly which means that the interpreter cannot fulfil their

job (e.g. incorrect VRI information, incorrect address, date or time), you will still be charged the full fee.

4Interpreter Quantity & Preferences

Usually, two interpreters are needed if the booking assignment is more than an hour.

You can nominate your preferred interpreters for different bookings. If they are not available, we will do our best to find suitable interpreter/s for the booking.

5Internet Connectivity

If you are using a VRI interpreter, you must make sure that you have a good internet connection so that the interpreter can do their job. If the internet is weak at your end and the interpreting service could not be provided, you will still be charged the full fee.

6Changing a confirmed booking

If you make a change to a confirmed booking, the interpreter/s may not be available for the new changed date/time/address. There is no guarantee that we can find alternative interpreter/s for your updated booking.

7Bookings Cancellation Policy

If you want to cancel your booking on the App, you need to cancel them at least 24 hours before the start time of the job, so that you do not have to pay.

If you cancel under 24 hours before the job starts you will pay the full fee.

If you want to cancel via our Bookings Office (by SMS, email, Skype, etc.), you must cancel at least 24 business hours before the start time of the job. Our business hours are 9.00am to 4.00pm weekdays except for public holidays in NSW, and Christmas break.

If you or the booked customer does not attend the job, or it is cancelled when the interpreter arrives – you will be charged the full fee.

8NDIS customers

Please make sure you have an updated service agreement with Sweeney Interpreting. This is and NDIS requirement.

If your NDIS funding has expired or run out at the time of completed bookings, you are still responsible to pay the invoice.

9Bookings with Quotes

You can contact us at bookings@sweeneyinterpreting.com.au to ask for a quote. Please note we will need to receive approval of the quote before we start looking for interpreters.

Please ensure that all information is added as the quote may change if we receive more information later.

10Bookings - Additional Services/Charges

a) Number of interpreters

Usually, two interpreters are needed if the booking assignment is more than an hour.

Sometimes, two interpreters are needed for a booking under 1 hour if the job is complex or has many people involved. The bookings team will talk to you about this if you have any questions.

b) Bookings that are live streamed and/or recorded

If your booking is to be livestreamed and/or recorded - we must know ahead of time so that we can let the interpreters know. If we are not aware of bookings with live streaming and/or recording at the time of the job, the interpreters have the right to withdraw from the  job, however we may still charge you for the booking.

c) Interpreter details

At times you may request interpreter details such as email addresses or mobile numbers. We ask that you respect the interpreter’s privacy by keeping these details confidential.

d) Preparation materials

It is important that interpreters prepare for their jobs, so they need preparation materials.

We ask that you send us materials at least 4 days before (longer if there is a lot to prepare) These can include agendas, PPT presentations, speaker notes, bios, scripts, videos etc.

We reserve the right to cancel the interpreters if we have not received what is needed. If cancelled under 24 hours from the start time, you will be charged the full fee.

e) Technical checks / early arrivals

Technical checks/ early arrivals: If you need the interpreters to arrive 30 minutes before the start of your event and/or need technical checks done in preparation for your event, please let us know in advance- there will be an additional charge for this.

f) Travel charges

There may be additional charges if your booking location is more than 100km return, from the interpreter’s residence. Charges include travel time and per kilometre.

Accommodation and meal allowances may also be charged if needed.

g) Parking costs

There may be times that we contact you to negotiate payment of parking costs incurred by the interpreter. We will do this before the booking goes ahead.

h) Online translations

We offer an online translation service. We can provide Auslan interpretation (and captioning in a limited capacity) for videos, audio, written English scripts.

We need to access the original material to be able to provide an accurate quote. You will need to fill out our checklist and send it back before we can find an interpreter for you.

The usual turnaround for this work is between 1 and 2 weeks, but may differ according to the request.

11Last Minute Bookings

You can book an interpreter directly when our office is closed. This includes weekends, evenings, public holidays, and Christmas break.

 It also includes business hours when:

  • You make a booking during business hours, Monday to Friday within 2 hours of the booking appointment time.
  • You make a booking during business hours, Monday to Friday, after 3.30pm for the same day.
  • You make a booking during business hours, Monday to Friday, for a booking before 10 am on the same day.

In these cases, you will be directly able to contact the interpreter, and they can accept if they are available. Please note that interpreters will accept jobs based on their qualifications and skills. We are not responsible for the decisions that they make directly with you as a customer.

12Schedule of Fees

All fees are ex-GST. GST is 10%. NDIS related bookings do not attract GST.
